From customer enquiry to a checked invoice

A practical workflow with explicit record, handoff and payment boundaries.

Before you start

Use fictional data while learning the workflow. You need access to the correct CRM workspace; the public invoice builder can be used without registration. A free account is required for branding removal and saved documents.

Keep each handoff explicit

  1. Capture the enquiry and identify the correct company and contact. In CRM, open Companies and add or select the company record.
  2. Record the agreed work, price and relevant deal stage. Keep customer acceptance and later changes with the job record.
  3. From the company record, choose Create invoice. The company name, contact, billing address and billing email carry into the signed-in invoice builder. For a quote or estimate, select the required document type and review its dates and terms.
  4. Check the transferred client details, then enter and review the line items, currency, unique reference, dates, tax and payment terms. The company handoff does not establish that a deal’s items, price or terms have transferred.
  5. Review the exported PDF and keep it with your records. Share it only after checking the recipient and payment instructions.
  6. Record actual payments separately. Downloading, saving or sending an invoice does not establish that it has been paid.

What this walkthrough establishes

Verified on 2 November 2026 in the Wazi Tools workspace using a fictional company: CRM Companies → company record → Create invoice transferred the company name, contact, billing address and email. The invoice’s items and amounts were entered and checked separately. This does not establish automatic deal conversion or synchronisation into the unsigned public builder.
